An Overview of service.asbury.edu
Overview Asbury has launched a new platform for finding solutions 24/7! All faculty, staff, and students can log in at any time to service.asbury.edu to view knowledge-base articles, see any open tickets you may have, or make a service request. In addition to these tools, service.asbury.edu is also the new home of the Administrative Policy Manual and Institutional Forms for faculty and staff! How to Use Service.Asbury.Edu To search solutions, check tickets, or make requests, open a browser, and navigate to https://service.asbury.edu On the homepage there are five icons, each tool is explained below: Your Tickets – If you have a ticket open with I.T. Services, you can view any communication about that ticket as well as reply to add more information. Please note, supervisors can see all the tickets for their team. Pending Approvals – This feature is coming soon! Report an Incident – this option starts a new ticket, the same feature available from the red “New Ticket” button in the top right of the home screen. You can start a new ticket to report an issue or ask I.T. Services a question! When you begin typing the issue into the subject line, Service will automatically start pulling up related articles on the right-hand side of the screen. This way, you can find a solution without needing to create a new ticket. If you do not see an article that relates to the issue in question, fill out the form and click submit at the bottom of the page. Request New Service – I.T. Services has created online forms for many of the most commonly requested services. In this section, you will find forms to request AV Event Support, reserve checkout equipment (faculty and staff only), request the purchase of select technology, and more! Please note, this feature is still being rolled out, check back for new service catalog items! Don't see an item you want to request? Create a ticket and suggest it to I.T. Services. Browse Solutions – This option allows you to look through all the knowledge base articles I.T. Services has published for Asbury’s use. This includes How To’s, basic navigation of systems, FAQs, and orientation guides for new faculty, staff, and students. Check back for new solutions added every semester! You can use the search bar to begin looking for a specific solution. Type in key words to see related articles. If you want to manually browse solutions, click on the “Browse Solutions” icon, or the “Solutions” tab at the top of the page to look through the published articles.

Email Information All faculty & staff members are assigned an Asbury University email address for use. Email is the official means of communication at Asbury. This email account is accessible on and off campus at office.asbury.edu from any web browser. You must use your full email address when logging in. Learn more about using your Email online here. Your Asbury email account is an Outlook Exchange account and can also be added to Microsoft Outlook on your computer or added to your phone. You will be prompted to reset your Asbury password every twelve months. If you enter an incorrect password three times, your account will be automatically locked. To unlock your account you can do so through the "Forgot Password" feature, or call the Service Desk, or wait 1 hour for your account to unlock automatically. Please remember, when you change your password for the network/email, it will automatically change your password for Discovery and Portal - all the credentials are linked. How to Reset Your Password You can reset your Asbury password or unlock your account at any time online. Changing your password will change it for all Asbury sites, including Discovery, Portal, etc. Before you can change your password or unlock your account, you need to enroll in the password reset service. When you first login to your account, you will be automatically prompted to set up verification methods for the password reset service. You will not be able to change a forgotten password if you have not already enrolled. If you have not enrolled, but have forgotten your password, contact the Service Desk for help. Utilize the resources section to access the campus calendar, Fusion, the IT Service Desk and many other locations. View your current benefits and deductions. View your profile information including your home address, personal and office phone, and office location and request corrections to this information. Add your phone number to the emergency text alert system. You can visit the portal by going to aep.asbury.edu. Discovery Discovery is the Learning Management System (LMS) at Asbury. Faculty may use Discovery to distribute course materials, assignments and quizzes online. Log into discovery.asbury.edu with your Asbury credentials. Discovery Resources for Faculty Faculty Portal Portal is the website where faculty can view current and past class schedules, review/enter midterm/final course grades, enter official attendance, see advisees (if applicable) and update emergency contact information. Log into portal.asbury.edu with your Asbury credentials. Portal Resources for Faculty OneDrive File Storage All asbury faculty, staff, and students have access to 1TB of cloud storage in OneDrive. With your Asbury email address comes the benefits of Microsoft Office 365 which means access to Word, Excel, and PowerPoint online as well as OneDrive. You can access OneDrive by going straight to onedrive.com and signing in with your Asbury email address and password. You can also use it while signed into your email online (office.asbury.edu) by selecting "OneDrive" from the waffle menu in the top left. You can also download the OneDrive application to your computer and upload files straight into the cloud. Software Available to Faculty & Staff Microsoft Office Suite - Download the Microsoft Office Suite (Word, Excel, Powerpoint, etc.) for free here! Antivirus (for Windows computers) - Free antivirus software is available here or you can come to I.T. Services for a computer checkup and recommendations for care (Asbury issued devices only). Purchasing a New Personal Computer? If you are considering purchasing a new personal computer, Asbury’s I.T. Services can help! Asbury faculty, staff & students are eligible for an educational discount on select models. Training and Support Asbury Information Technology Services provides training in learning spaces on the classroom technology for full time and part time faculty members. Please visit the website to request a training time. Request Training in a Learning Space I.T. Services also has training for Discovery and the Faculty Portal and provides limited support on various other pieces of software. Working with I.T. Services for Success How do I get help when I need it? I.T. Services provides an online portal where you can open a support ticket for a technology issue, or request a new service. You can also view any open tickets you may have submitted. Submit a ticket, request a service, or a view your tickets at any time by logging into service.asbury.edu! During normal business hours, you may call us at campus extension 2177, or from anywhere at (859) 858-5177. Semester Business Hours: Monday-Thursday 7:30 AM - 9 PM | Friday 7:30 AM - 5 PM | Closed for Chapel MWF 10 AM - 11 AM Break Business Hours: Monday-Friday 8:00 AM – 12:00 PM; 1:00 PM 5:00 PM. We are closed from 12-1 for lunch. For extremely time-sensitive requests, we recommend that you come visit us during normal business hours. We are located on the first floor of Kinlaw Library, Room 131. Emergency classroom technology assistance is available during normal business hours. Please call us if you need assistance or if the technology isn’t working! Will I be assigned technology? If so, how often is that replaced? Most full-time employees receive a laptop or desktop for business use. All full-time employee computers are replaced every 4-5 years as funds allow. Employees may obtain one free replacement charger or other adapter with each deployment. All subsequent replacements will go through I.T. Services and be funded by the employee's department. All faculty offices on campus are assigned an office phone. Other devices (such as iPads, printers, etc.) are not automatically upgraded in the technology rotation. Cell phones are only provided at the approval of the departmental supervisors and vice-presidents. How do I get access to shared drives, printers, and other shared resources? These requests need to come from your supervisor to I.T. Services in writing (ServiceDesk@asbury.edu). Once approved, an appointment will be scheduled with you to set up the resources through our Service Desk. Can I buy additional equipment on my own, or does that need to go through I.T. Services? Computers, adaptors, chargers, printers, office phones, classroom technology, etc. must be requested through I.T. Services. Please see section 300.7.11 of the Administrative Policy Manual for more information. How to I get Audio/Visual support for an event or presentation (not in a classroom)? I.T. Services supports many different kinds of events on campus every semester. Visit asbury.edu/ITS for more information and to request support for an event. On-Campus Information Internet Access at Asbury AU Wireless is the wireless network provided for faculty and staff on campus. The password for this network is: GoEagles To connect to the Internet, Asbury requires that all users sign in to the Network Access Control. You will be prompted to log in once per day or upon re-connecting to the network. If this page does not automatically come up, you can go directly to it and sign in for access. Go to login.asbury.edu and sign in with your username and password. To stay logged in for longer, please register your devices with connect.asbury.edu: How to Use connect.asbury.edu Content Filtration Asbury University employs content filtration in accordance with institutional policies. This system is intended for the protection of our students, faculty, and staff from internet content inconsistent with Asbury’s cultural standards and is monitored regularly. Questions regarding blocked content should be directed to the Service Desk. Office Phones If you have a desk phone in your office, look on the back to determine the make and model of the phone. There are several different types of phones across campus and we have instructions for each model. Once you have located your model, choose the applicable instructions from our phone guides. See all the phone guides below. If you have any questions about your phone, please contact the Service Desk with your name, question, and which type of phone you have. Asbury University Phone Guides Faculty ID Card Remember to stop by the Service Desk to have your staff/faculty ID created! Please note that if you are a former student, your student ID card needs to be replaced with a staff/faculty ID to maintain functionality. Employees can also request family IDs for their spouse and children if desired (must be requested 72 hours in advance of printing). Personal Network Storage Space – U: Drive Each faculty/staff member has private space on the Asbury computer network to save files. This drive space is accessible from any networked computer on campus by accessing \\eli.asbury.edu\firstname.lastname or on a Mac with smb://eli.asbury.edu/firstname.lastname. How to Map a Userspace on Windows 8 & 10 How to Map a Userspace on macOS Computer Labs & Print Accounts Printing in the computer labs is reserved for students only. Faculty and Staff (including adjuncts) are encouraged to use departmental printers. All faculty and staff can be mapped to their department print. Please have your supervisor contact the Service Desk to request this. In case of an emergency, faculty and staff have a $5 print balance that can be used in the computer labs across campus.

Onboarding Your Employee with I.T. Services
Overview This document describes the steps and process of onboarding a new employee with I.T. Services. 1. Official HR Notice: Our process begins when we receive notice from Human Resources that a new employee has joined the University. Before this official notice, we cannot take any action regarding the employee other than collecting information. As soon as we receive notice, we will notify the employee's supervisor that we will begin activating them in all systems. If you are the employee's supervisor and need to provide I.T.S. with additional information or access requests for the new employee, please do so at this point to expedite the process. As the employee's supervisor you may request the employee to have access to departmental resources including: Transact (ID Card Access) - ID Card Access to buildings where they'll be working. CampusNexus / Cvue - our student information system, and host of the majority of our data about students. Mazévo - used to schedule or approve the use of various campus conference rooms, classrooms, and meeting spaces. Fresh Service - The ticketing and information system for IT Services and Strategic Communications. Microsoft Dynamics GP - Our payroll system Department Network Drives - These may be commonly referred to by their letter name, HOWEVER, please send us the full path (ex. \\silas\ACDShare on Y:) Department Email Inboxes - email addresses relevant to your area of work. Slate - If your new team member needs access to slate, we'll be happy to connect you with Admissions! 2. Account Creation and Permissions: Within 48 hours, the new employee's account will be updated or created to reflect the employee's status. We will inform the supervisor when the work is complete and notify the employee of their new login credentials if a new account has been created. After the account has been updated, other system access requests will be granted, including access to Anthology, network drives, and inboxes. The default login information for new employee accounts is as follows: Username: firstname.lastname@asbury.edu Password: First four letters of their last name + last four digits of their employee ID If your new team member doesn't know their employee ID Number, they can obtain that from you (it's on their paperwork), or by contacting HR. ITS is unable to hand out this information for security reasons. 3. Staff/Faculty ID Once their account is created, please remind your employee to stop by the Service Desk to pick up a staff/faculty ID. Please note that if they are a former student, their student ID card needs to be replaced with a staff/faculty ID to maintain functionality. Employees can also request family IDs for their spouse and children if desired (must be requested 72 hours in advance of printing). 4. Technology Deployment If the employee's position includes a technology deployment, our Technicians will reach out to the employee to schedule a deployment of their technology using Microsoft Bookings. Please note that this meeting is required for the deployment of technology and that deployments cannot be done in advance of official notice from HR. In some cases these meetings will be "in-place" deployments for desktop technology or will take place at the Service Desk for mobile technology. Deployed technology will be based upon the I.T. Services technology lifecycle and available inventory. If the former employee for the position was due an upgraded machine, then the new employee will receive the intended upgrade. If the supervisor wishes to change the technology to be assigned, please make that request in advance to the Service Desk via the ticketing system.

Exiting Your Employee with I.T. Services
Overview I.T. Services is here to help you with staff transitions and exits. This document describes the steps and process of exiting an employee with I.T. Services. 1. Official HR Notice: Our process begins when we receive notice from Human Resources that an employee is leaving the University. Before this official notice, we cannot take any action regarding the employee other than collecting information. As soon as we receive notice, we will notify the employee's supervisor that we will begin removing them from our system. If you are the employee's supervisor and need to provide I.T.S. with additional information or requests for the employee's exit, please do so at this point to expedite the process. As the employee's supervisor you may request to have access to the employee's resources in order to aid in the transition to a new employee or the dissolvement of a position. 2. Access Removal On the employee's resignation date, we will begin removing their permissions in university systems. This includes access to email, network drive shares, Cvue, and other systems. 3. Extension/Phone Reassignment If the employee has been deployed a desk or mobile phone, we will reach out to the supervisor or employee to collect the phone and reassign the extension/phone number to another employee. If the position is being filled by another employee, please indicate this during the process and we will re-assign the number to the employee. 4. Technology Collection I.T Services will communicate with the employee to collect their technology before their departure so that we may back up their user data and prepare the computer for reassignment. If the employee is deployed a desktop computer, we may not collect the technology, but will still require a meeting to backup and prepare the computer for the next user. If you are a supervisor, please work with our Team to schedule a time for this process. As soon as we collect and/or backup all technology, remove access permissions, and receive confirmation of phone re-assignment, we will close the employee change in our system.

Requesting Check Out Technology
Overview The Service Desk has a number of laptops (both Mac and PC), adapters, and other technology available for faculty and staff to borrow for professional use. This technology is available to any Asbury faculty or staff members, including adjunct and part-time employees. What technology is available? A full list of available checkout items is available in our Service Catalog here. How do I check out technology? If you know that you're going to need a specific computer or adapter in advance, you can submit a checkout request using our service catalog. This way, the technology can be resolved for you and prepared for pickup. Otherwise, walk-in checkouts are available as stock allows. To pick up a piece of checkout technology, visit KL 131 in the basement of Kinlaw Library and a student staff member will check it out to you. How long can I check out technology? All technology checked out to faculty and staff members is on loan for 24 hours. Longer checkouts are available when prior approval is given by the Service Desk.
